Flatshare Agreement Template: Why a Free PDF Is Not Enough

A free template can help in a pinch, but it does not follow your flatshare's real life. What a static document cannot do.

Free flatshare agreement templates are easy to find online. They help in a pinch, and that is already better than nothing: putting the rules in writing always beats a verbal agreement. But these templates share one structural limitation — they are static, whereas a flatshare never is.

A Document That Does Not Change

A template filled in once stays exactly the same, no matter what happens afterwards. A flatmate leaves, another moves in, shares change, a house rule gets renegotiated: the document just keeps describing the flatshare as it was on the day it was created.

After a few months, it no longer describes anyone. It sits in a folder, everyone has a slightly different copy, and hardly anyone knows which one is authoritative.

Shares Recalculated by Hand: A Source of Errors

Without a tool to recalculate, every change in the flatshare's make-up means redoing the numbers by hand. Splitting €1,000 between three people, then between four, while keeping fixed shares untouched and placing the rounding correctly, is anything but straightforward.

The resulting errors do not show up right away: they surface months later, when someone redoes the maths and finds that the shares no longer add up to the actual rent. What follows is an argument over who miscalculated what — exactly what the document was supposed to prevent.

An agreement that is not kept up to date loses its value in a dispute. If it no longer reflects who actually lives in the property, people will argue it does not match reality — and that will be hard to contest.

No Record of Signatures

A file keeps no trace of who signed, when, or which version. In a dispute, it becomes very hard to prove that a flatmate genuinely accepted this particular version of the agreement, and not another one.

It is precisely at the moment the document should prove useful — a serious disagreement — that you discover it does not prove much at all.

What a Living Agreement Changes

A living flatshare agreement adjusts with every move-in and move-out: new shares are calculated automatically, a new version is signed by the flatmates concerned, and the history of previous versions is kept.

The difference comes down to one sentence: the document follows the flatshare's actual reality, instead of staying frozen on the day it was created. That is what makes it still worth something the day you actually need it.
